Track Partner Collaborations
Every invitation you send or receive creates a collaboration thread. Follow the ones you’ve sent from each invited partner’s row on the All Partners tab, and review every application you’ve received under Applications.
Overview
There is no separate Collaborations page. Invitations and applications show up in these places under Partners:
- Invitations you send are rows in the All Partners table. Sending an invitation creates the partner
record straight away, with the status
PENDING, so the company is listed from the moment you click send. While the invitation is waiting for an answer, the row’s ⋯ menu carries Resend invitation and Cancel invitation. See Invite Partners. - Applications is a list of its own in the Partners rail. It keeps every inbound request — submissions from your sign-up form and invitations other Fours organizations send you in the app — including the ones you’ve already decided, so you can see which applications you accepted, declined, or let expire. See Review Partner Applications. If you’re an Admin, it also has a User access sub-tab for the people asking to join your own organization. See Review requests to join your organization.
- The Pending invitations panel is for organizations that joined Fours as a partner. They have no Applications list, so an invitation a seller sends them waits in a Pending invitations panel above their All Partners table until they answer it.
Open an invitation’s details
An invitation you sent. On the All Partners tab, the invited company’s row shows who you wrote to: when the partner record has no contact of its own yet, Contact Name and Contact Email show the person you invited. If the invitation email couldn’t be sent, Email not sent appears under the contact email; hover over it for the reason. Click the partner’s name to open the record: its banner says when the invitation was sent, the date it must be accepted by (or the date it expired), and the address it went to.
An invitation sent to you, if your organization joined Fours as a partner:
- Go to Fours Console, then Partners.
- On the All Partners tab, expand Pending invitations. The panel appears only while something is pending, and it opens by itself if you don’t have any partners yet.
- Click a row to expand it in place and see what the company sent you — the same details Applications shows. See Read an application. Click the row again to close it.
The panel lists up to 50 invitations, newest first. When more are pending, a Showing 50 of N line at the bottom says so. Each row’s actions sit behind the ⋯ menu in the Actions column.
Respond to an inbound invitation
If your organization joined Fours as a partner, open the row’s ⋯ menu in Pending invitations and choose Accept or Decline. They do exactly what Approve and Decline do on the Applications list (see Review Partner Applications), except that a decline here takes effect straight away, without a confirmation step.
If your organization runs its own partner program, an invitation from another Fours organization arrives under Applications. Approve or decline it there.
Cancel an invitation you sent
- On the All Partners tab, find the invited company’s row and open its ⋯ menu.
- Choose Cancel invitation.
- Confirm on Cancel this invitation? — the dialog warns that the invitation link stops working and the contact can no longer accept it, and that the partner row stays, so you can invite the company again later. Click Cancel invitation to go ahead, or Keep it to back out.
Review Partner Applications
Applications is the full history of requests to partner with you. It includes every submission from your public registration form and every invitation another Fours organization sends you in the app. It also holds an application for each company that registers a deal through your public deal registration link without being your partner yet. Rows you’ve decided stay in the list, including the ones you turned down.
- Go to Fours Console, then Partners.
- Click Applications in the rail. If you’re an Admin, it opens on the Partnership sub-tab, which is this list; a count beside Partnership shows how many applications are pending.
- Pick a status to narrow the list: All, Pending, Accepted, Declined, or Expired.
The table shows each Applicant, their Domain, the Status, when the application was Submitted, and when it was Decided. The newest are listed first, 20 to a page. The list doesn’t show which teammate made a decision.
| Status | Meaning |
|---|---|
| Pending | Waiting for your decision. The only status with Approve and Decline. |
| Accepted | You approved it. |
| Declined | You declined it. It can’t be reopened. |
| Expired | Nobody decided within 15 days. |
A row stays Pending until you approve or decline it. If nobody decides within 15 days of its arrival, it can no longer be approved or declined, and a daily check marks it Expired. If the other organization resends an in-app invitation, it comes back as Pending with a new 15-day window.
Read an application
Click the arrow at the start of a row to read what the company sent before you decide. Only one row is open at a time.
For an application from your sign-up form, the panel shows:
- Submitted by — the applicant’s name and email address;
- Company and Company website, which opens in a new tab;
- their answer to Why do you want to partner with us?;
- every other question with its answer, worded as the applicant saw it and in the order the form asks them now. A question you’ve renamed or removed since then comes after the rest. A question the applicant skipped reads Not answered, and a ticked checkbox reads Yes;
- the form it came through — or the deal registration form, for a company that registered a deal through your public link.
An invitation from another Fours organization has no form behind it. Its panel says so, and shows the message the organization sent instead.
When you arrive from the invite wizard’s Review their application link, the list opens on Pending with that application highlighted. See Invite Partners.
Approve an application
Click Approve on a Pending row.
Approving marks the row Accepted and provisions the partner. When provisioning succeeds, Fours reuses and activates a matching partner record if it finds one, and otherwise creates a new active partner record. For an invitation from another Fours organization, both organizations get an active partner record.
For an application from your sign-up form or your public deal registration link, Fours identifies the company by the domain of the applicant’s work email, never by the Company Website they typed. It reuses, in this order:
- the partner record the application was raised against, for a company that registered a deal through your public link;
- a partner whose linked Fours organization is on that email domain;
- a partner record with that domain.
If none of these exists, Fours creates a new partner record for the domain.
As long as the applicant’s work email belongs to the company, approving also sets up the partner’s side. Once the
company has a Fours organization, that organization decides: the address must be exactly on its email domain, or on
a domain Fours support has added to it, and an address on a host under the domain, such as mail.acme.com, doesn’t
count. Until then, the partner record’s domain decides.
- Their Fours organization. Fours links the company’s existing Fours organization, or creates one. A partner record that is already linked to a Fours organization stays linked to it.
- The applicant’s access. Fours adds the applicant to that organization, as an Admin if nobody is in it yet and as an Editor otherwise. Nobody’s existing role changes.
- Your company in their portal. The partner’s portal lists your company as a partner.
- Their copy of a registered deal. For an application raised by a
public deal registration, each deal registered with that application
that is still waiting for your decision gets a copy in the partner’s organization, in
Pending Acceptance. Approving the partner doesn’t accept the deal: you still accept or reject it in Partner Co-Sells.
The applicant hears from you by email, when your email notification settings send it. An approval, subject “Your partner application with {your company} was approved”, tells them they can sign in with the address they applied with, and carries a Sign in to the partner portal button to your partner login page once you’ve set a portal slug. If the applicant wasn’t given access, the same email says there’s one more step: an invitation at an address on their company’s domain, or their own domain added by Fours support, followed by an invitation.
Provisioning is best-effort. If it can’t complete, the application still reads Accepted, but the partner’s side may be missing. For example, an application from a personal email address, such as Gmail, gets no partner record (the sign-up form now refuses these, so only older ones remain), and an applicant whose email isn’t on the company’s domain isn’t given access. To bring such a partner in, invite them at a work email address. See Invite Partners.
Decline an application
- Click Decline on a Pending row.
- Confirm with Decline application.
A decline can’t be undone, and there is no way to reopen the application from the console. A partner who should have been accepted has to apply again.
The one exception is an application raised by a public deal registration. If you later accept that company’s deal in Partner Co-Sells, the company becomes your partner and its application reads Accepted, even if you had declined it or it had expired.
For a public-form application, the Partnership invite declined email in your Settings → Notification controls whether the applicant is emailed. Its subject is “An update on your partner application with {your company}”, and it tells them you aren’t moving forward with a partnership right now. See Email Notification.
Review requests to join your organization
User access is the second sub-tab of Applications, and only Admins see it. It lists the people asking to join your own organization in Fours — the same join requests Admins review under Settings > Users & Roles — and keeps the ones you’ve already decided. Anyone who isn’t an Admin sees the partner applications only, with no sub-tabs.
- Go to Fours Console, then Partners.
- Click Applications in the rail, then User access. A count beside it shows how many requests are waiting.
- Pick a status: Pending, where the list opens, Approved, Rejected, or All. To narrow it further, use the role filter (Any role, Viewer, Editor, or Admin) or the Search by name or email box.
Click Name, Role, Status, or Request date to sort by that column, and click it again to reverse the order. On any status but Pending, a Decided column shows who decided each request and when.
Click a row to read the whole request: who asked, your organization, the role they asked for, when they asked, and their full message. A decided row also shows the outcome, who decided it and when, and either the role granted or the reason given. Each pending row has its own Approve and Reject, which work the way they do under Review Join Requests.
Decide several requests at once
- Tick the pending rows you want, or tick the box in the header to select every pending row on screen.
- Click Approve selected or Reject selected. The confirmation lists everyone you selected.
- To approve, choose Keep each requested role, or one role for everyone, such as Editor for everyone.
- To reject, you can give one reason, which is sent to everyone selected.
- Confirm. Fours decides each request separately, so one that fails doesn’t stop the rest, and the message afterwards says how many failed.
Clear drops your selection. A request marked Already a member is left out of a bulk rejection, because only Approve can clear it.
Start a new invitation
To start a new invitation, click + Invite Partners at the top right of the All Partners page header; it opens the invite wizard. See Invite Partners for the single and bulk flows.
